Job Description
MISSION FOODS A leader of Mexican Food Products is seeking a Plant Administrative Assistant for their Las Vegas, Nevada Plant. The Plant Administrative Assistant’s overall responsibilities are to assist in the administration of reports to the Plant Manager. RESPONSIBILITIES Essential Duties: These duties directly and substantially serve to achieve the purpose of the position. This job description does not state or imply that the duties listed are the only duties and responsibilities assigned to this position. Employees holding this position will be required to perform any other job-related duties as requested by management. •Responsible for the following reports/files on a weekly and monthly basis for the Plant Manager: oWeekly Operations Report. oY.T.D. Operations and expense reports. oCost Control reports. oQuality System reports. o100 report (Daily). oPreparations of special presentations. oResponsible for Plant Manager’s daily schedule and expense reports. •Responsible for completion of staff minutes for Mondays and Fridays. •Responsible for completion of all safety matters and distribution of minutes for Safety meetings. File and control the monthly safety report updates, monthly safety inspections and monthly awards. •Responsible for the timely completion of typewritten materials, performance reviews, etc. •Composes and review memos, reports. •Mandatory contacts with different vendors to insure all office needs are met, as well as cost efficiency is implemented in the purchasing of supplies. •Responsible for all travel arrangements for Managers and Supervisors including Hotel and car reservations as needed. •Responsible for front office duties: oConference room schedule & ordering supplies oFax, copier, coffee and supplies oManage petty cash oAnswer telephone and gives information to caller or routes call to appropriate office and places outgoing calls. oSchedules appointments for plant manager. oGreets visitors and ascertains nature of business. •Coordination of: oStaff Meetings oLunches oSpecial Events oMail distribution for the Plant. •Document special events. •Take pictures for events. •Completion of special projects as they are assigned QUALIFICATIONS/EDUCATION/ EXPERIENCE •High School Diploma. Some college coursework preferred •Excellent verbal and written communication skills •Good interpersonal skills •Bilingual (Spanish/English) •Computer Literacy-MS Word, Excel, Internet •2-3 years of previous experience in an administration environment
