Job Description
The position serves as an entry level support position for the Account Team. This position helps with the organization and execution of administrative tasks such as opening jobs, follow up calls, maintaining status reports, building cost estimates for the Account Executive to review and approve, and helping to maintain work flow throughout the client projects they are assigned.
Specific Duties & Responsibilities:

Administrative development of timelines, status reports, opening jobs in PackTrak system, informing Manager of status of projects and assist in managing timelines

Create and maintain completed job folders

In conjunction with Account Executive, develop Cost Estimate Agreements (CEA), which are forwarded to the customer

Assist in obtaining customer sign-off on all projects before work begins

Create and maintain project folders and ensure routing of folders to appropriate departments
-
Demonstrate a relationship of trust and confidence with customers and suppliers by answering routine questions and staying abreast of project details
-
Assist in contacting vendors, answering costing questions as appropriate, and directing further conversations where needed

Provide conference notes from attended internal meetings to all involved parties

Anticipate delays and estimate overages; address with Manage before they occur

Track revisions and ensure overages are being tracked appropriately in PackTrak
-
Maintain internal communication via PackTrak system and TIPS for Design revisions and direction

Serve as point of contact for internal cross-functional team

Provide effective/timely communications to Daymon staff, customers, and suppliers through continuously updated status reports and Gantt chart utilization

Assist as needed within invoicing for all services and costs as they become due

Keep account management fully informed of account activity – challenges and opportunities.

Organize/set up meetings for project reviews and weekly status calls

Assist Account Executive in the preparation of any client meetings
Requirements

High School diploma
-
0-2 years work experience
-
Strong organizational and time management skills
-
Strong computer skills, PC/MAC, Excel, Word

Demonstrated follow through on projects

Demonstrated strong communication skills
